Colorado State University Conference & Event Services (CES) offers CSU students an opportunity to enhance their academic learning experience in real work environments by learning how to plan and organize conferences and events at one of the leading university conference and event operations in the country. CES is One‐Stop Shop certified through the Association of Collegiate Conferences and Events Directors‐International (ACCED‐I) and provides all clients with one contract, one contact, and one bill for all events. CES serves as the primary client contact and manages all client needs and services by working with various departments across campus, as well as off‐campus vendors.

Under the close supervision of a professional team member, the Conference & Event Assistant will serve in a position that delivers superior customer service for various events throughout the year (heavy in the summer months) by providing assistance with logistical, planning, operational, and registration services. This position is also responsible for providing excellent customer service for all clients and guests at the main CES front desk. Students accepted in this position are part of the professional team during the summer working with our staff in executing administrative and hands on event planning duties and assist and support registration operations. They will also work directly with a professional Conference & Event Manager to assist with larger, more complex events and specific projects related to events.

Job Responsibilities & Duties:
  • Assist with coordinating housing arrangements, meals, meeting space, and other services for summer event groups while following CSU policies and procedures
  • Assist with preparing budgets, contracts, and closing financial statements
  • Co‐management of the summer Guest Housing Program: taking reservations, payments, room assignments, etc.
  • General office and clerical duties including: answering phones, greeting guests, directing office traffic, responding to emails, producing & updating forms, office inventory, filing, etc.
  • Communicate event information to the Guest Services Team and other campus partners
  • Provide on‐site logistics management and assistance
  • Delivery, set‐up and pick‐up of audio/visual and other equipment
  • Emergency set‐up and/or clean‐up of meeting space
  • Assist with on‐site registration services
  • Act as an ambassador to event guests for the University and CES
  • CES office front desk customer service and coverage throughout the academic year and summer
  • Provide on‐call assistance and potential overtime hours in order to accommodate larger or complicated groups
  • Other duties as assigned
Requirements:
  • Must be a CSU student with a minimum cumulative grade point average of 2.5 at the time of application
  • Must be in good disciplinary standing with the University
  • Must be available 30-40 hours per week to include evenings, weekends, and holidays
  • Must have a valid driver’s license
  • Must successfully pass a background check and department of motor vehicle screening
  • May take no more than one (1) summer class per session during the contracted work period
  • Must be available to work all mandatory work dates during the summer season
Desired Qualifications:
  • One (1) year of experience in a customer service position
  • Strong commitment to customer service
  • High level organizational skills
  • Professionalism expressed in actions and appearance at all times
  • Strong oral and written communication skills
  • Highly flexible and willingness to handle a wide variety of tasks in detail oriented fashion
  • Knowledge of the Colorado State University campus and the surrounding Fort Collins area
  • Self-motivated, self-confident, and resourceful
  • Ability to problem-solve
  • Able to work effectively as a supportive team member
  • Ability to work with a diverse array of groups, including international conferences
