Conference & Event Services (CES) offers students an opportunity to provide leadership, customer service and administrative support for one of the leading university conference operations in the country.

 

Under the general supervision of the Guest Services Manager for CES, the Guest Services Team Member plays a critical role in creating a check-in/check-out and front desk experience that is welcoming to thousands of conference and event guests mid-May to mid-August.  The Guest Services Team provides excellent customer service, guest information, acquaints guests with the campus and the community, and serves as a welcome ambassador for the university.  As a paid employee you are part of our professional conference services team working with various campus partners, conference and event clients, and other CES professional staff daily to provide services for conference and event groups of all sizes.

Job Responsibilities & Duties:
  • Facilitate the check in/check out of event guests, including required handouts, meal cards, data entry, and key exchange
  • Manage residence hall keys including key prep/inventories, check out of spare keys/keys to specific rooms in the building
  • Provide front desk coverage including late night/early morning desk services
  • Serve as a resource for campus and Fort Collins information for guests
  • Ensure that each guest receives flawless and consistent service through every GST interaction
  • Assist in preparation for event groups by completing room assignments, meal card preparation, and building tours
  • Serve as initial primary responder to emergencies, including recording info and relaying it to the appropriate staff/agencies
  • Attend all training sessions and weekly staff meetings
  • Carry a departmental cell phone for on-call job responsibilities, including overnight services
  • May be required to work overtime to accommodate larger groups
  • Serve as “sleep-in” duty, by staying overnight in various halls when event buildings are occupied
  • Other duties as assigned
Minimum Qualifications:
  • A demonstrated interest in customer service
  • Strong oral and written communication skills
  • Knowledge and awareness of resources on the CSU campus and within the Fort Collins community
  • Ability to work independently with little supervision, handling multiple deadlines and projects
  • Task and detail oriented
  • Ability to problem-solve and work effectively as a supportive team member
  • Willingness to work in a diverse, professional environment
  • Must be a CSU student, with a minimum cumulative grade point average of 2.5 at the time of application
Preferred Qualifications:
  • One (1) year of experience in a customer service position
  • Experience as a Resident Assistant or Residence Hall Desk Staff Member
  • Highly flexible and willingness to handle a wide variety of tasks in detail-oriented fashion
  • Ability to maintain good working relationships with university guests, staff, residents, peer employees, and vendors
  • Strong skills in record keeping; in a neat, legible, and orderly fashion
  • Self-motivated, self-confident, and resourceful
  • Knowledge of the Colorado State University campus and the surrounding Fort Collins area
  • Ability to work under pressure, set priorities, and meet deadlines
Requirements:
  • Must be in good disciplinary standing with the University
  • Must be available 20 hours per week to include evenings, weekends, and holidays
  • Must have a valid driver’s license
  • Must be able to lift up to 50lbs.
  • Must successfully pass a background check and department of motor vehicle screening
  • May take no more than one (1) summer class per session during the contracted work period
  • Must be available to work all mandatory work dates during the summer season
Compensation:
  • $11.10 per hour
  • Air-conditioned residence hall bedroom
  • Partial meal plan – 100 Meals

 

Employment will begin on Monday, May 20th, 2019. However, three (3) mandatory, paid spring training dates in March/April are required.

 

Housing and meals will begin on May 20th, 2019 and will be provided through August 5th, 2019. Staff will be required to work a minimum of 20 hours through August 5th. Hours can/will increase during June and July up to 30-40 hours per week.  Hours will flex from week to week based on conference needs and schedules will be published at least two (2) weeks in advance.  Weekend, evening, and holiday hours are required during the duration of the summer conference season based on conference needs. Commitment to an “on-call schedule” for the summer is a requirement of this position. The position will end on August 5th, 2019. However, staff may continue working through the end of August based on need. 

Time Off Policy:
  • Requests for time off are subject to approval and will be reviewed on an individual basis.
  • Submitting a request does not guarantee time off.
  • Time off requests must be submitted at least two (2) weeks in advance.
  • Time off requests for Medical/Dental appointments should be submitted as soon as possible.
  • Time off requests for Medical/Dental appointments should be requested in hourly increments for scheduling purposes.
  • Medical/Dental appointments may require a doctor’s note for verification.
  • Due to the nature of our business there will be limited time off granted during the scheduled training dates in May over the 4th of July holiday and select dates based on event group needs.
